What you store and what you see
No more folder of paper forms: each clearance lives in its member's profile.

The document
You upload the clearance as a PDF or image, up to 50 MB, from the member's profile, and download it whenever you need it.

The expiry date
You enter the one on the form. Kaizer suggests one year as a starting point, and you change it if the clearance lasts longer or shorter.

The status
Valid, expiring soon or expired, with the expiry date or the days left or past, on each member's profile.

One clearance per member
Uploading a new one replaces the old one: you always see the one that counts today.

Alert before expiry
You choose how many days ahead to be warned. The member is warned with the same lead time.

Expired clearance alert
If a clearance has already lapsed, the panel flags it so the team can ask for a new one.

The gym-wide picture
Metrics show how many members have a valid clearance, one expiring in the next 30 days, an expired one or none at all.

Clearance report
A PDF or CSV list of members with no clearance, an expired one or one about to expire, with their contact details to request a new one.
How it works day to day
- Step 01
Upload it to the profile
When the member hands it in, staff upload it with its expiry date.
- Step 02
Choose the lead time
In the automation settings, an admin sets how many days ahead to warn and whether to also warn once it has expired.
- Step 03
Ask for the new one in time
The alert shows up in the panel, and the report gives you the list with phone and email to reach out.

What it does not do
- Kaizer does not issue or validate medical clearances: it stores the document the member gives you and the date written on it.
- It does not provide medical diagnosis or clinical rehabilitation.
- An expired clearance triggers an alert; what to do about that member is up to your gym.

Can I see which members have no clearance?
